About the role
The International Committee of the Red Cross is seeking an Assistant & Information Management Officer to provide high‑level administrative support and oversee information‑management processes within the Delegation. Working closely with the Executive Assistant and IM Officer, the role ensures smooth handling of correspondence, records, and internal tools.
Key responsibilities
- Screen, prioritize and track delegation correspondence; manage schedules and organise internal and external meetings, including all logistical arrangements.
- Draft, translate and proofread formal communications in English, adhering to ICRC correspondence standards and visual identity.
- Maintain professional networks with government offices, follow up on official letters and update facilitation details for local authorities.
- Coordinate briefings for incoming staff, debriefings for departing staff and arrange official visit itineraries.
- Oversee end‑to‑end document lifecycles: filing, archiving, inventory control, contingency planning and monitoring of sensitive ICRC stock.
- Manage collaborative tools, databases and delegation email boxes; lead the maintenance and promotion of the local intranet page.
- Translate institutional IM policies into local guidelines and act as a change agent to drive user adoption.
- Conduct regular briefings, refresher sessions and workshops on correspondence, protocol and IM tools for staff and sub‑sites.
- Handle routine secretarial duties, supply ordering with financial follow‑up, and keep organisational charts and contact lists up to date.
- Provide coverage for the EAIMO and Administrative Assistant during absences and deliver ad‑hoc IM support to sub‑delegations as needed.
Required profile
- Strong motivation for humanitarian work and alignment with ICRC values of impact, collaboration, respect and compassion.
- Excellent written and spoken English; ability to draft, translate and proofread formal documents.
- Organisational aptitude with the capacity to manage multiple priorities and tight deadlines.
- Professional demeanor and ability to interact with diverse stakeholders, including government officials and internal teams.
