Guest House Assistant

About the role

The Guest House Assistant supports the operational management of WHO accommodation facilities in Sudan. Working under the Administrative Assistant and guided by the Senior Operations Officer, the role ensures efficient guesthouse administration, logistics, maintenance, and high‑quality customer service.

Key responsibilities

• Manage guest bookings, reservations, inquiries, occupancy records and guest information.
• Coordinate room allocation, arrivals, departures and optimise occupancy.
• Work closely with housekeeping to ensure rooms are prepared and maintained to standards.
• Conduct regular facility inspections and coordinate maintenance and repair activities.
• Maintain records of preventive maintenance, repairs, inventory and operational activities.
• Supervise housekeeping and outsourced service providers, ensuring compliance with contracts.
• Support procurement of goods and services required for building operations and maintenance.
• Assist in organising meetings, events, receptions and conferences, handling logistics and venue preparation.
• Process requisitions, purchase orders and monitor supplier performance.
• Contribute to continuous‑improvement initiatives to enhance operational efficiency and guest satisfaction.

Required profile

• Bachelor’s degree in hospitality management, guest services, hotel management or a related field.
• Minimum 4 years of experience in hospitality, guesthouse, hotel operations, facilities management or customer service.
• Experience within the UN system, NGOs or international organisations is an asset.
• Strong organisational, customer‑service and facility‑management abilities.
• Ability to work independently, manage multiple priorities and meet deadlines in a fast‑paced environment.
• Fluency in Arabic and English.
