Coordinator of Membership & Records

About the role

The Coordinator of Membership & Records will serve as the primary liaison between collegiate chapters and the Fraternity Service Center, overseeing member reporting, onboarding, billing, and records management.

Key responsibilities

• Manage member reporting processes and guide new members through registration and onboarding steps.
• Coordinate new‑member onboarding, pre‑initiation modules, and process non‑student initiation and status‑change requests.
• Collaborate with Financial & Housing to generate, review, and confirm invoices for chapters and alumni associations, including late fees, credits, and dues.
• Oversee production and distribution of membership materials (badges, shingles) with vendors.
• Maintain accurate chapter address data, track records, and pull database reports; escalate portal issues as needed.
• Provide phone and email support to chapters and undergraduates, assist with credentialing for conventions, and disseminate communications.
• Support registration and compliance activities with Education, Tax, and Financial departments.

Required profile

• Bachelor’s degree in Business Administration or a related field.
• Strong attention to detail, organizational skills, and ability to prioritize tasks.
• Self‑motivated with excellent interpersonal and customer‑service abilities.
