About the role
The Guesthouse Administrative Assistant provides essential support for guest accommodation services at UNICEF’s Khartoum office. This temporary, 364‑day appointment involves handling cash transactions, monitoring utilities, and ensuring smooth guest bookings.
Key responsibilities
- Collect guest accommodation fees, issue official receipts, and maintain a sequential receipt register.
- Maintain a daily cashbook, reconcile occupancy records with payments, and submit funds to Finance on schedule.
- Prepare draft invoices for short‑term, long‑term, and agency bookings; track invoice status and follow up on outstanding payments.
- Verify supplier invoices for cleaning, maintenance, food, and utilities against service delivery and agreed rates.
- Maintain daily/weekly records of electricity, water, and fuel consumption; coordinate fuel deliveries and monitor usage trends.
- Update the guest booking calendar, record guest details, allocate rooms, and ensure rooms are prepared and stocked before arrival.
Required profile
- Ability to handle cash collections and maintain accurate financial records.
- Attention to detail for reconciling payments, invoices, and utility logs.
- Familiarity with basic administrative procedures and record‑keeping.
